Thesis and Dissertation Submission Procedures

Thesis and dissertation submission guidelines, FAQ, and example forms

Welcome

Congratulations on finishing your degree!  The MCPHS Libraries work with you to publish and preserve your thesis/dissertation. We have outlined the process for submission in the steps below.

Before You Submit

Are you getting ready to submit your thesis or dissertation?  Before you submit, be sure to do the following.

  • Review your program's requirements and timetable to be sure you are on track to submit.
  • Gather all necessary documents and forms.
  • Check to be sure you have all required signatures.

If you have any specific questions about thesis/dissertation requirements or deadlines, please reach out to your Research Advisor and/or your department.

Preparing and Submitting Your Files

What do you need to submit to the MCPHS Libraries? See what documents you need below.

Master's Thesis

  • One copy of your thesis as a PDF document. 
    • The title page must have signatures.
  • One unsigned copy of the title page of your thesis as a PDF document.
  • Thesis/Dissertation Receipt Form
    • Fill in your name on the appropriate line.
    • If you would like to embargo your dissertation, complete the box at the bottom of the form. Your research advisor must sign this box. The maximum embargo time is one year.

  • Institutional Repository Non-Exclusive Deposit License

All forms must be submitted as PDF files. You will submit all of your files to the MCPHS Libraries via our Qualtrics submission form.

Doctoral Dissertation

  • One copy of your dissertation as a PDF document.
    • The title page must have signatures.
  • One unsigned copy of the title page of your dissertation as a PDF document.
  • Thesis/Dissertation Receipt Form
    • Fill in your name on the appropriate line.
    • If you would like to embargo your thesis, complete the box at the bottom of the form. Your research advisor must sign this box. The maximum embargo time is one year.

  • Institutional Repository Non-Exclusive Deposit License
  • PROQUEST/UMI Agreement
    • This form must include your signature to be valid.
    • If you have decided to embargo your dissertation, be sure to embargo it on the PROQUEST/UMI Agreement.
      • On the PROQUEST/UMI Agreement, the embargo section can be found on page 4, under "Select Publishing Options." 
    • MCPHS pays for traditional publishing only.

All forms must be submitted as PDF files. You will submit all of your files to the MCPHS Libraries via our Qualtrics submission form.

Submission Review

What happens after you submit your thesis/dissertation to the MCPHS Libraries?

  • After you submit your thesis/dissertation to the MCPHS Libraries, the IR team will review your submission.
    • We may send feedback and ask you to make adjustments to your files.
  • Once the review is complete, we will send a signed thesis receipt verifying that the MCPHS Libraries has received your thesis/dissertation.

Please note: This is not an automatic process. Your thesis files will be reviewed by the IR team within 2 business days, during regular business hours. For questions about the status of your thesis, please contact us at repository@mcphs.edu.

After Submitting Your Work

When will your thesis/dissertation be available in the IR?

  • Unless if you have requested an embargo, your thesis will be available in the Institutional Repository within three months of submission. If you have requested an embargo, your thesis will be available in one year, after the end of your embargo period.
  • On our thesis submission form, we now offer the option to be notified when your thesis is available in the Institutional Repository. If you would like to opt-in, please do the following:
    • Select "Yes" on Question 3
    • On Question 4, be sure to provide us with an email address that is not your MCPHS email address. We will not be able to contact you with your MCPHS email address after you graduate.
