Importing PDFs

EndNote can import PDF files, preferably those with a Digital Object Identifier (DOI) that help identify the reference information of that article. A DOI is typically found somewhere within the first two pages of the PDF. After importing a PDF, you will be able to easily identify if a DOI was included because a record will be created for that item and the PDF will be automatically attached. This should be the case for most PDFs that are downloaded from any our library’s databases.

1. Select Import from the File menu. 

2. Select PDF File or Folder. If you would like to create a group set (discussed in the Organizing Your Library section of this guide), select PDF Folder as a Group Set.

3. Leave the rest of the options to the default settings and click Import. 

 

After selecting Import from the File menu, you can then select a PDF File or Folder that you want to import. You can also create a group set by selecting the option, 'PDF Folder as a Group Set'.

2. Click the Choose button to navigate to the appropriate folder or file that will be imported. If there are subfolders within the selected folder, check the box labeled Include files in subfolders. If you would like to create a group set (discussed in the Organizing Your Library section of this guide), check the box labeled Create a Group Set for this import.

3. Select PDF for the import option. Click the Import button.

 

After selecting Import from the File menu, you can either select Folder to import multiple PDFs or File to import a singular PDF. By selecting the Choose button, you can locate the necessary folder or file that you would like to import. If there are subfolders located with your selected folder, be sure to select the box labeled 'Include files in subfolders'. If you want to create a group set, be sure to select the box titled 'Create a Group Set for this import'. After doing so, select the PDF and then click the Import button.

Importing a Reference List from a Database

Creating and importing reference lists from databases is a useful feature that EndNote supports. There are multiple ways of importing references into EndNote. This guide will show the text file importing method. There are two main advantages of saving and importing a text file from a database

  • Duplicates can be filtered out more efficiently while importing.
  • When the Find Full Text preferences are set to Automatically invoke Find Full Text on newly imported references, the process will be completed by the end of the import

Exporting Data from PubMed

1. Perform your search in PubMed and mark the records you would like to import into EndNote.

2. Click the Send to: button located in the upper right section of the page and select Clipboard as the destination.

3. Click the Clipboard button. Repeat this process for each page of search results until you have compiled your list.

4. Click on the link that shows the number of records in your clipboard.

5. Once in the clipboard, click the Save button. Select PubMed as the format. It is important to select PubMed when using PubMed in order for the file to import correctly into EndNote. Click the Create File button. You may be prompted to save the file. Save button, format selection, and create file button.

 

Importing a Text File into EndNote

1. In EndNote, click the File menu then select Import.

2. In the next window, find and select the PubMed text file. Select PubMed (NLM) for the Import Option. If the PubMed option is not available, select Other Filters​ and search through the list of filters for PubMed (NLM). Select PubMed (NLM) then click the Choose button. If you do not want duplicate records to be added to your library select Discard Duplicates for the Duplicates option. Click the Import button.

4. The new references will appear in the Imported References group. You may need to wait a bit for the file to finish loading.

 

To import a Text File into EndNote, click the Import option found under the File menu. Find and select the PubMed text file that you wish to import. Select PubMed (NLM) from the Import Option menu. If the PubMed option is not available, you can select Other File and search through the list available list for the files you need. Select PubMed (NLM) once you have found it and then select the Choose button. You avoid adding duplicates to your library by selecting the Discard Duplicates option, found under the Duplicates drop-down menu. Click Import. Your new reference will appear in the Imported References group.
